How to Calculate Salary Conversions

Job offers arrive in different units: USD 32 per hour, USD 5,200 per month, or USD 85,000 per year. To compare them fairly you need consistent conversions, a clear assumption about hours worked, and a separation between gross pay (before deductions) and net pay (take-home).

This guide focuses on the standard arithmetic used in U.S.-style full-time assumptions, especially the common 2,080 hours per year rule of thumb.

The 2,080-hour year

A conventional full-time schedule is 40 hours per week for 52 weeks:

H_\mathrmyear = 40 × 52 = 2080 \text hours

That figure does not subtract vacation, holidays, or sick days. It is a conversion convention, not a promise that you will be paid for 2,080 productive hours. Employers who pay salaried exempt workers still often use 2,080 (or 2,087 / 2,096 in some payroll systems) when publishing equivalent hourly rates.

If your real schedule differs, replace 40 or 52 with your numbers.

Core conversion formulas

Let r = hourly rate, A = annual gross salary, h = hours per week, w = paid weeks per year.

Hourly → annual

A = r × h × w

With standard full-time assumptions (h = 40, w = 52):

A = r × 2080

Annual → hourly

r = (A)/(h × w) = (A)/(2080)

Annual → monthly (calendar months, equal split):

M = (A)/(12)

Monthly → annual

A = M × 12

Annual → weekly

W = (A)/(52)

Weekly → annual

A = W × 52

Hourly → weekly

Worked example: hourly to annual

Offer: USD 28.50 per hour, 40 hours/week, 52 weeks.

A = 28.50 × 2080 = 59,280

r = (96000)/(2080) ≈ 46.15 \text per hour

When you do not work 2,080 hours

Part-time. Use actual hours:

A = r × h × 52

Example: USD 22/hour × 25 hours/week × 52 = USD 28,600.

Unpaid time off. If you are hourly and unpaid for 3 weeks off:

A = r × 40 × (52 - 3) = r × 1960

Salaried with fixed annual pay. Vacation usually does not reduce the annual salary figure — you still quote A as written, but your effective hourly rate for hours actually worked rises:

If USD 80,000 salary and you work 1,880 hours after PTO:

r_\mathrmeffective = (80000)/(1880) ≈ 42.55

Semi-monthly vs biweekly pay

Payroll frequency changes the paycheck size, not the annual total (ignoring overtime and bonuses).

Trap: biweekly ≠ semi-monthly. Biweekly is 26 checks; semi-monthly is 24. A USD 72,000 salary is USD 2,769.23 biweekly vs USD 3,000.00 semi-monthly.

Overtime (hourly non-exempt, high-level)

In many U.S. contexts, overtime is 1.5× the regular rate beyond 40 hours in a workweek (rules and exemptions vary). Approximate weekly gross with overtime hours h_\mathrmOT:

W ≈ r × 40 + 1.5 r × h_\mathrmOT

Annualizing overtime is unreliable because OT varies week to week — better to estimate a typical week and multiply carefully, or track year-to-date earnings.

Gross vs net

Gross is pay before taxes and deductions. Net is what reaches your bank account after:

  • Income tax withholding (federal, and often state/local)
  • Social insurance contributions (for example, Social Security and Medicare in the U.S.)
  • Benefits deductions (health premiums, retirement contributions)
  • Other withholdings (garnishments, voluntary deductions)

A rough educational model sometimes uses an effective net fraction \eta:

\eta might be 0.65–0.85 depending on location, filing status, benefits, and pretax elections — not a universal constant. Two jobs with the same gross can produce different net pay if one includes expensive medical premiums or larger retirement deferrals.

Job A: USD 90,000 gross, estimated \eta = 0.72 → net ≈ USD 64,800. Job B: USD 84,000 gross, estimated \eta = 0.78 (lower benefits cost) → net ≈ USD 65,520.

Gross favors A; approximate net can favor B. Always refine with a paycheck estimator for your locale.

Comparing offers

Convert every offer to the same unit (usually annual gross), then adjust for:

  • Expected hours (including commute if you value time)
  • Bonus and equity (probability-weighted)
  • Benefits (employer retirement match, insurance premiums)
  • Approximate net after your tax situation
  • Growth path and stability

Total cash example. Base USD 100,000 + expected bonus 10% → USD 110,000 expected cash, then convert or tax-model as needed.

Common mistakes

Dividing annual salary by 2,000 instead of 2,080. Some people use 2,000 for simplicity (40 × 50); state your assumption.

Multiplying monthly by 4 to get weekly. Months are not 4 weeks; use A/52 or M × 12 / 52.

Treating biweekly pay as semi-monthly. 26 vs 24 paychecks changes budgeting.

Comparing hourly contracting to salary without burden. Contract rates often must cover payroll taxes, benefits, and unpaid downtime.

Equating gross with spendable income. Budget from net, negotiate from gross (and total rewards).
